Privacy policy for the Stockholm Chamber of Commerce.
Your personal integrity is important to us. We want you to feel confident that we process your personal information in a responsible manner. This privacy policy provides you with comprehensive information on how we process personal data in accordance with current legislation, and with reference to the General Data Protection Regulation[1], which entered into force on May 25, 2018.
The information collected is processed by the Stockholm Chamber of Commerce, 262000 – 0261 and Stockholm Chamber of Commerce Service AB, 556095 – 7952, at Regeringsgatan 29, 111 53 Stockholm, Sweden (“Stockholm Chamber of Commerce”).
You may directly or indirectly provide us with information about yourself in a number of ways. For example, certain personally identifiable information is collected through our web pages or through contact forms or event notifications. What information we choose to collect about you depends on how and why you have been in contact with us. If you visit us online and choose to become a member, subscribe to one of our newsletters, buy one of our services or sign up for one of our events, the information we register will be limited to your name, email and phone number. We do this to accommodate your request to register with us and to improve usability. We do not require you to register or provide personal information to access information and materials on our website. However, if you register, you will receive information about activities, reports and events that are within the same interest category.
We process only information about you that is necessary to meet our legitimate interest. For example, to provide you with information about our products, services, subscriptions or gatherings of different kinds. It may also be that we want to follow up on your visit to one of our meetings or events. Another legitimate interest of ours is to keep our invitations, newsletters and services as relevant as possible for you. Our purpose is to provide you with service in the form of relevant communication, various services, and relevant and customized offers. In deciding which information to collect and process, we balance our own legitimate interest against your interest in protecting your personal data.
The Stockholm Chamber of Commerce ensures that the processing of your personal data is secure and in accordance with applicable data protection law.
Consent is a voluntary and clear will through which, after receiving information, you accept the processing of your personal data. As of May 25, 2018, we may explicitly ask you to give your consent when you sign up as a customer, member or event visitor. This means that you will receive invitations to various events and networks, news about reports, newsletters and member information via either mail or email.
You may contact us to revoke your consent or change your preferences as to what you are interested in at any time. You are free to access, correct, remove or contest the personal information that the Stockholm Chamber of Commerce has about you. You do this by contacting us.
When you choose to sign up for one of our newsletters, you need to provide your e-mail address. We will keep your email address registered until you decide to unsubscribe from the newsletter(s).
In order to be able to participate in our events and benefit from our reports, networks and other services, we invite companies to become members. For each member company, we need at least one contact person. When applying for membership, we need personal information such as a name, email and telephone number. These personal data are used to keep member companies informed of what is happening at the Stockholm Chamber of Commerce through information, invitations and newsletters, etc. We will keep your information registered for as long as it is necessary, depending on the purposes for which the data was originally collected, or as otherwise required by law.
When you use any of the commercial document services such as, but not limited to, the Certificate of Origin or ATA carnet, we need to register your name, phone number, and e-mail address to perform our services and comply with applicable law. We will keep your data registered for as long as necessary to meet the purposes for which the information was originally collected. We follow the union customs code UCC (EU 952/2013), Act (1990:515) on the authorisation of Chambers of Commerce and Chambers of commerce ordinance (1990:733) and the Swedish Accounting Act.
When you enter into an escrow agreement with the Stockholm Chamber of Commerce, we request personal information such as a name and e-mail address. We need this information to perform the relevant service. We keep your information for as long as necessary to meet the purposes for which the information was originally collected or as otherwise required by law.
The SCC processes personal data in order to fulfill its mission in respect to the services the institute provides. If you come into contact with the SCC in the administration of arbitral proceedings, we may process personal data including your name, postal address, e-mail address, telephone number, nationality, job title, preferred languages and business affiliations. If you serve as an arbitrator, we process details of fees and, if applicable, taxes and social security contributions. If you express an interest in arbitral appointments, we may process data including curriculum vitae and information about your birth year and specialist competence. If you subscribe to receive business-related information and market communication from us through, for example, our newsletter, we may process your personal data including name and e-mail address. If you are a member of any of the networks that the SCC administers, we may process data including your name, e-mail address, telephone number and postal address.
We use cookies and similar tracking techniques to enhance your experience of our services. By these means, for example, we may get information about your IP address, browser type and your operating system, displayed web pages, links you clicked, web sites you visited before you came to our site, and which emails from us that you open, forward, or that bring you to our site. When attending any of our events, lunches, seminars, educational sessions, information meetings or the like, we may record or photograph the event and the participants. This means that you may be present in audio and video recordings or photographs of the event. This information may be used in different way by the Stockholm Chamber of Commerce and may be published internally or externally. We will not publish names or photos, audio or video recordings of participants who have a prominent role without the prior consent of the participant.
The personal data of member companies, member contacts, participants in the administration of arbitral proceedings, event participants and stakeholders registered in our records before May 25, 2018, and thereafter, is processed in compliance with the General Data Protection Regulations (GDPR) Article 6, paragraph 1 (f).
With the exception of participants in the administration of arbitral proceedings, we share personally identifiable information with companies within the Stockholm Chamber of Commerce Chamber group. We may also share information with service providers that we have hired to perform services on our behalf, e.g. to help us run campaigns or dispatch electronic communications. These service providers may access personally identifiable information about our visitors and stakeholders, if required to perform tasks for us, but they do not have our permission to use or disclose the information unless required in order to perform the relevant services on our behalf or to comply with legal requirements.
The Stockholm Chamber of Commerce will neither sell nor share your personal information with anyone. As mentioned earlier, however, we may in some cases, share your personal information with selected third parties. In such circumstances, we ensure that the transfer is done safely, while preserving your privacy. Below are categories of recipients that we may share your information with. Other companies within the Stockholm Chamber of Commerce. To be able to administer the membership fee, personal data may be transferred within the Stockholm Chamber of Commerce. Collaborators used for example when Stockholm Chamber of Commerce releases reports and press releases. The Stockholm Chamber of Commerce is a meeting place with many seminars, networking meetings and events, and we use your information to invite and inform you about our activities. We may also send out newsletters and invitations to our events. System suppliers of business systems and case management. To carry out our assignments and services, we register your data for example in our business system (a system that manages our customers and contacts).
Suppliers of printing and distribution services. We may also share information about you with suppliers that provide printing and distribution services to us. Parties, counsel and arbitrators in the context of arbitration proceedings.
Sometimes we may need to process your personal identification number, as it is the only way to confirm your identity. This will be the case when for example a private individual enters into a contract with or becomes a member of the Stockholm Chamber of Commerce. We will only process your personal identification number when it is motivated for its purpose.
Personal data is kept by the Stockholm Chamber of Commerce for as long as it is necessary for the purposes specified above, for instance, it may be necessary in order for us to perform in accordance with our commitments to you, or required by law or regulations. The Stockholm Chamber of Commerce erases personal data on a regular basis. The Stockholm Chamber of Commerce also takes reasonable steps to keep the personal data being processed and to erase inaccurate and otherwise incorrect or redundant personal data. We have internal processes in place to ensure that we do not keep unnecessary data about you and that we do not keep it for longer than necessary.
The Stockholm Chamber of Commerce and our suppliers and partners generally process your personal information within the EU / EEA. In cases where personal data is processed outside the EU / EEA, we ensure that our suppliers and partners respect the same level of security and protection as applied within the EU / EEA.
